Vanguard is seeking a relentless Concierge Operations Specialist // Client Logistics to eliminate 100% of operational friction for our global membership. Sitting at the intersection of high-tier executive assistance, international medical concierge logistics, and elite client hospitality, this role coordinates mobile concierge phlebotomy networks across international borders, manages member-only marketplace supply lines, and acts as the unshakeable tactical bridge between our high-net-worth clients, performance coaches, and independent medical teams.
Clinical Boundary Note
This is a non-clinical role. You will not diagnose conditions, interpret diagnostic panels, or advise on medical treatment. Vanguard's international board of licensed physicians directs all medical protocols; your remit is operational execution, logistics, and client experience.
Core Responsibilities
- Global Phlebotomy & Diagnostic Logistics: Dispatch and manage mobile lab technicians and concierge phlebotomy networks across the US, EU, and GCC for seamless client blood draws and diagnostic panel collection.
- Supply Chain & Marketplace Execution: Oversee fulfillment and international shipping for member-only longevity marketplace orders, custom diagnostic kits, and physician-directed supplement protocols.
- Executive & Clinical Coordination: Synchronize multi-time-zone calendar scheduling, medical board review timelines, and client onboarding workflows with zero latency.
- Friction-Free Member Support: Act as the primary operational point of contact for high-net-worth members, resolving scheduling conflicts, international shipping delays, and logistical bottlenecks before they impact the client experience.
Requirement Baseline
- Operational Background: 3+ years in executive assistance (supporting C-suite/HNWIs), elite corporate hospitality, high-end medical concierge, or complex global event/travel logistics.
- Velocity & Problem-Solving: Extreme operational speed with the ability to navigate cross-border shipping, international lab logistics, and urgent schedule shifts without requiring oversight.
- Discretion & Tone: Flawless written and verbal communication tailored to high-performing executives, founders, and international clients with an unyielding commitment to privacy and discretion.
- Technical Proficiency: Experience managing CRM platforms, scheduling software, and inventory/fulfillment systems in high-stress, fast-moving environments.
